What is an ATS resume? How applicant tracking systems read your CV

Last updated: · DrCV team · 3 min read

Short answer: An ATS resume is a resume that applicant tracking software can read without losing information: one column, real selectable text, standard headings like “Work Experience”, and keywords taken from the job post. Test it by pasting your PDF text into a plain text editor.

An ATS resume is simply a resume that applicant tracking software can read without losing information. Many employers route applications through an applicant tracking system (ATS) such as Workday, Taleo, Greenhouse, Lever or SuccessFactors; Workday describes it as a central database recruiters use to review resumes and filter applicants against specific requirements (Workday). The system turns your file into structured fields, and recruiters then search those fields.

If your resume can't be parsed, a recruiter searching for "project manager" or "SQL" may never see you, even when you're qualified.

What does an ATS do with your resume?

  1. Parses it. It extracts your name, contact details, job titles, employers, dates, education and skills into a candidate profile.
  2. Indexes it. The text becomes searchable by keyword.
  3. Ranks or filters it. Recruiters filter by keywords, location, years of experience or screening questions.

A popular myth says a robot rejects most resumes on its own. In practice, people set the filters, although hiring processes built for efficiency can still screen out qualified candidates, as Harvard Business School's Hidden Workers research found (HBS). What you control is whether your resume is readable and whether it uses the words the role is searched by.

What breaks ATS parsing?

  • Two-column layouts and text boxes. Columned layouts and text boxes are documented causes of failed parsing (Greenhouse), and your skills can end up mixed into your job history.
  • Tables, icons and graphics. Skill bars, star ratings and icons carry no text an ATS can use.
  • Contact details in the header or footer. Greenhouse lists contact details in the header, footer or a text box as a cause of unsuccessful parsing (Greenhouse).
  • Creative section headings. "Where I've made an impact" is unclear; "Work Experience" is not.
  • Image-only PDFs. A scanned or designed-as-image resume has no text to read.
  • Unusual date formats. Use "Jan 2023 – Present" or "01/2023 – 06/2025" consistently.

How do you write an ATS-friendly resume?

  • Use one column, a standard font, and clear headings: Summary, Work Experience, Education, Skills, Certifications.
  • Put your name, email, phone, city and LinkedIn in the body text at the top.
  • For each role, write title, employer, location and dates on their own line, followed by 3–5 achievement bullets.
  • Mirror the job description. If the post says "stakeholder management", don't write only "worked with partners".
  • Spell out acronyms once: "Search Engine Optimization (SEO)".
  • Save as a text-based PDF or .docx, whichever the posting asks for.

How can you test your resume in 5 minutes?

  1. Open your PDF, select all, copy, and paste into a plain text editor.
  2. Check that everything is there and in reading order.
  3. Make sure your headings appear as plain words.
  4. Search the text for the 5–10 key skills from the job post. Missing ones are gaps to fix (honestly).

FAQ

What does ATS mean on a resume?

ATS stands for applicant tracking system: the software employers use to collect applications, store them, and let recruiters search and filter candidates. An ATS resume is one that this software can read cleanly.

Does an ATS reject resumes automatically?

Usually not by itself. Most systems rank or filter by the criteria a recruiter sets, such as keywords, location or knock-out questions. A resume that parses badly simply becomes hard to find.

Is PDF or Word better for ATS?

Follow the job post. If it doesn't say, a text-based PDF exported from a word processor works in most modern systems. Avoid scanned or image-only PDFs.

How can I check if my resume is ATS-friendly?

Copy all the text from your PDF and paste it into a plain text editor. If everything appears complete and in the right order, an ATS will most likely read it too.
